On the Beat are committed to protecting and respecting your privacy.

We do not intend to process personal data collected from you for marketing purposes. If we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes, we will obtain your prior agreement.

What information does the organisation collect from you?

 

In order to communicate with the dance schools attending our events it is necessary to hold the following information (obtained from enquiries about our events, giving us legitimate interest to hold and process):

  • Dance School Name
  • Teacher Name
  • Contact Details (email, address, mobile number)

In order for participants to compete at a On the Beat events, the dance school/teacher must collect and provide us with some personal data regarding each individual dancer.

This will include:

  • Full Name
  • Age
  • Events they wish to compete in
  • For some events the address, postcode and date of birth might also be requested to comply with the Child performance and activities licensing legislation requirements for some areas of the UK.

In this situation, the dance school/teacher being the ones responsible for collecting this information, should have their own guidelines/policy in place which should outline how this data will be handled by themselves. It should also make clear that they intend to pass this data on to us as a third party.

We may disclose your personal information to third parties if we are under a duty to disclose or share your personal data in order to comply with any legal obligation.

Who has access to the data?

 

We do not sell, trade or rent any personal information to others. We may use third party service providers to help us operate our business and this site or administer activities on our behalf.

Your information may be shared internally for the purpose of the service being provided. All staff who access personal information have received appropriate training on the handling of confidential data.  Access to all information restricted by usernames and passwords.

Keeping your information secure

 

We take the security of your data seriously and will always try to take appropriate precautions to protect it.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site (www.onthebeat.dance); any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

We aim to keep any personal data provided by you securely by using appropriately robust and password protected storage facilities. Our staff are provided with training about data protection and data handling.

We will inform you in a timely manner if we have reason to believe the security of your data has been breached.

Where we have given you (or where you have chosen) a password that enables you to access certain parts of our management systems, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Use of Video and Images

 

At times, images and video are used as marketing collateral in order to promote our events which is our core business activity.  We believe there is a real business interest being pursued in continuing to process the personal data and that the processing is balanced against the impact such processing will have on the fundamental rights and freedoms of data subjects.

Users under 18 years of age

 

If you are under 18, please make sure that you obtain your parent / guardian’s permission beforehand whenever you provide personal information to us. Users without this consent are not allowed to provide us with personal information.

How to make a request to access your data

 

In accordance with law, we are obliged to provide you (as the ‘data subject’) with a copy of your personal data. Requests for your data can be made by email or post, using the contact details below.

We will ask you to provide evidence to prove that you are the data subject or are acting with the authority of the data subject. We will do this as soon as is practical, but certainly within the legal maximum of one month.

How long will data be retained

 

Following the conclusion of an event all details relating to competitor information will be deleted securely within 30 days.

Keeping your information up to date

 

Information is only retained to provide the contracted services and you supply all information. While compliance procedures are followed to ensure the accuracy of information provided we really appreciate it if you let us know if your details change.
